Under direction, the Administrative Assistant is responsible for all administrative aspects of Nutrition Services. Analyzes problems and recommends options. Participates in long-range planning for the clerical needs of the department. Responsible for timekeeping and payroll functions, and for supporting personnel management efforts. Provides administrative support and guidance to Director, Assistant Director, and Nutrition Management on matters related to personnel and payroll.
Responsible for providing information or reports used in resource determination, and for providing department-wide correspondence. Assists with filing, faxing, supplies replenishment, and monitoring of related recharges. Prepares non-standard reports. Assists management with calendaring. Ensures timekeeping data is processed accurately and timely, and maintains timekeeping and departmental personnel files. Assists with coordination of computer/technical support.
Maintains catering database, tracks and prints orders to support department. Provides administrative support to Outpatient Dietitian Services, as required. Prepares and distributes materials for meetings, presentations, and manuals. Assists management with candidate interviews and provides recommendations. Provides support to management with staff performance evaluations in compliance with established guidelines. Performs review of PCB reports and informs management.
Three (3) years of administrative support experience in a large, complex healthcare system.
Proven experience with budget, timekeeping, payroll, and personnel management functions.
Strong skills with preparation and distribution of materials for meetings, presentations, and manuals.
Highly proficient with MS Office: Excel, Word, Outlook, and PowerPoint.
Professional communications skills. Superb customer service skills.
Highly organized and detail oriented.
Experience in Nutrition and/or Hospitality Services.
Familiar with UCSD systems, policies, and procedures.
Experience with learning new software and applications.
Must be able to work various hours and locations based on business needs.
